Position Summary:

The Director of Training will provide strategic direction for learning and education and serve as a consultant for matters relative to the scope of workforce professional development. Additionally, the Director, is responsible for the overall management and coordination of general daily training department operations which include but are not limited to educational services, staff development, and administrative operations. The Director interacts closely with internal staff and external vendor partners to effectively balance multiple work streams and develop detailed training project documentation to include requirements, project plans, project schedules, risk mitigation plans, and project status reports/communications

Essential Functions:

Responsibilities:

  • Lead the development of department and role-based training roadmaps and learning plans. Build training roadmaps and learning plans for new functions as required
  • Liaise with senior leaders to identify training priorities (including training needs analysis) and develop framework for Epic training
  • Delivery of standard on-boarding training and assist with delivery of function specific training as needed
  • Program management and oversight of the development of Epic Training
  • Overseeing production and quality control of training materials
  • Monitoring effectiveness of training programs
  • Provide metrics and reporting to Leadership on training status
  • Ensure development of communication plans to target audiences
  • Monitor pre and post training activities †logistics, tracking, material production, responding to questions related to training
  • Build relationships with senior leadership and corporate training functions †acting as liaison point for firm-wide training as required
  • Develop and maintain detailed training plans to include milestones, tasks, dependencies, risks/issues and target/actual dates of completion.
  • Communicate concise Executive status reports to Program Director and other key Executive Leadership
  • Manage training work streams and budgets of $15M+ and 35+ key stakeholders
  • Coordinate and ensure managed partnership with the organizational support (i.e. “at the elbowâ€?) team(s)
  • Coordinate and ensure managed partnership in the learning management approach with applicable ancillary systems (30+) and/or departments (i.e. Nursing, Provider)
  • Ensure high quality of deliverables as identified:

  • Activities of one team do not adversely impact activities of another team

  • Changes are combined when appropriate to avoid duplicate effort
  • Quality deliverables are prepared
  • Drive the QA process to ensure the final product is accurate and complete
  • Manage identified issues by the instructional design team and bring to resolution
  • Escalate non-resolved issues to the Program Director
  • Report completion of work plans for outstanding work, issues, and risks on a weekly basis to the Program Manager
  • Conduct weekly team meetings to discuss team and training related activities, issues, change, communications and updates
  • Ensure department decisions are made in a timely fashion
  • Work with other teams to coordinate department’s activities with other departments and teams to integrate work and instructional design, build, testing, and delivery
  • Oversee training registration progress, check for registration errors, answer user questions and update reminder communications
  • Ensure coordination with locations on course schedule, monitor training registration progress, check for registration errors, answer user questions and update reminder communications
  • Monitor Trainers and performance in the classroom and escalate issues as necessary
  • Manage up to 50 training staff, and 500+ courses that are developed according to the scope and plan.
  • Manage logistics and delivery of training for 1000+ end users annually
  • Plan and manage the day-to-day activities of team members including prioritization of work, development and execution of 4000+ work plan tasks coordination of resources, and meeting plans
  • Oversee the use of training rooms based on guidelines validating training sites meets room requirements, components are tested (i.e. hardware), site is prepared for each session
  • Ensure storage and maintenance of learning content such as lesson plans, tip sheets, exercise booklets, user guides, etc.
  • Ensure data in the master training environment is available, accurate and ready to support the delivery of all training sessions
  • Support the processes, reports, tools, procedures, and schedules for providing on/off site training logistics
  • Ensure high quality of deliverables as identified through the content development and maintenance plan
  • Monitor team performance, deliverables, and adherence to timelines against performance requirements
  • Prepare summary team status reports and reviews with Program Director
  • Conduct weekly leadership meetings to discuss team and project related activities, issues, change, communications, and updates
  • Manage identified issues by the project team and bring to resolution; escalate to the Program Director issues which cannot be resolved
  • Deliver weekly status reports that address outstanding work, issues and risks to the Program Director and senior leadership
  • Participate in weekly Program Director and weekly leadership meetings.

Position Qualifications:

Minimum Education:

  • A Master’s Degree with a training, education, clinical and/or technical major (a combination of relevant education and experience may be considered in lieu of degree)

Minimum Experience:

  • At least 8 years of experience working in a hospital/healthcare training environment
  • 10+ years of experience managing training projects, resource plans, risk mitigation strategies
  • At least 10 years of experience and expertise with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and Visio

Preferred Education / Certification / Licensure:

  • Master’s Degree or higher
  • Certification in an Epic functional area: Departmental, Clinical, Revenue Cycle application strongly preferred

Preferred Experience:

  • 7+ years Epic implementation training experience
  • 7+ years hospital/healthcare training experience
  • Cancer Center experience preferred
  • Prior training management experience with instructional design, content development, training, education, presentations, etc., especially in a hospital or healthcare provider environment, preferred
  • Epic Principal Trainer with Epic instructional design, training delivery, Epic application implementation(s), etc., as a healthcare provider employee or consultant to healthcare providers, strongly preferred.
  • Healthcare experience in other acute care health care settings preferred as well. Previous experience in the design, planning and implementation of Epic preferred.
